2026-27 season
What's due
Across every production, soonest first.
Next two weeks
Everything in the building, whichever show it belongs to.
Nothing here yet
Add a show and upload its script. callboard reads the script and drafts the characters, the scenes, and everything each department has to make.
Add a show
A show starts here: what it is, when it opens, and the script. Everything else in callboard hangs off those three things.
Songs & dances
Who is actually in each one, and the video of how it goes.
1. Bring the responses in
Connected to this show
Paste the link to the responses sheet
callboard remembers it, so next time this is one button. The sheet has to be set to Anyone with the link can view.
Or upload a file, or paste rows
In the responses sheet: File › Download › Comma Separated Values, then drop the file here. Or just select the rows in Sheets and paste them below, headers included.
Or paste the rows
2. Check the columns

Schedule
Nothing on this week yet. Double-click any day (or hit Add a call), and use Repeats to fill weeks of the same days in one go.
Everything for the show goes in here: rehearsals, scene shops, tech, dress, performances. Pick the scenes you are working and the call list falls out of the script; anyone with a conflict that day is flagged before the call goes out. The Cast and Crew schedule pages are this, filtered and read-only.
Call
Type the time in From and it is set. Until then the call stays TBA.
Called
Cannot be there
Who was here
Anyone with an approved conflict is already excused, with the reason, before you touch it. “Not at school” counts against nothing: that is the district’s call, not ours. Only a no-show counts toward the three in the contract.
Hallway screen
The TV lives at dshs-callboard.web.app/displayArrange what the wall says. Click a tile and its settings open under the board; the Announcement tile is where you type. Drag a tile to move it, drag its corner to resize, click it to change what it shows. The preview is exactly the TV, shrunk.
Type the announcement and it reaches the wall as soon as it saves. Tap a tile in the list to change what it shows. The board at the bottom is a preview.
The wall, shrunk. Move and resize tiles on a laptop: on a phone the board is a preview, so a thumb scrolling past it never moves a tile.
The wall only ever sees published calls, and it never shows a student’s name: a call reads Cast, Crew or Company. Arranging tiles saves itself and is on the TV in seconds. A call goes up, changes or comes down on the TV the moment it is published, edited or cancelled. Refresh the wall’s calls is only for a nudge (a new day’s countdown, say), and Reload the TV is for after callboard itself is updated.
Calendar
Departments
Everything the script asks for, with an owner and a date it has to exist by.
Where each department stands
Bars are done over total. Spend adds up from the prices on buy links.
Script
No script yet
Drop the script in and callboard reads it: the character list, the scene and song breakdown, and every prop, costume, set piece, sound, light and effect the script actually asks for. Each one carries the page and the line that put it there. Nothing counts until you approve it.
Reading the script
Three passes: who is in it, what the units are, and what every department has to make.
Breakdown
Ask the script
A question about what is actually in the text. It reads the whole thing and answers with the lines it read, so you can check it.
This is a read of the script, not a decision about the show. It changes nothing on the breakdown, the board or the roster. Every answer comes with the pages and lines it was read off, including the ones that argue the other way, because a flat “never” you cannot check is worse than no answer at all.
Nothing to review yet
This show has no breakdown. Upload the script and callboard reads it first.
Scenes & songs
Where the show stands
Every number here is counted from something real. A bar that says "nothing yet" means the list behind it is genuinely empty, not zero.
Schedule changes
callboard has no messaging. These are the published changes with a post waiting to be copied into StudentSquare.
Your next calls
Audition sign-up
Tap an open time to put someone in it. A slot locks the instant it is taken, so there is no second name on a line and no shuffling to close gaps.
Lay out a day
Import the paper sheet
Snap a photo of the sign-up sheet on the clipboard and the handwriting turns into names in slots. Every line comes back for you to check first: nothing is imported until you say so.
Conflicts
Everything the import structured, and everything a human has fixed since. Nothing excuses anybody from a call until it is approved.
Add one by hand
For what a student says in the hallway, and for the ones the import could not read. Rehearsals are Monday to Friday, 3:00 to 5:30.
My sheet
✓ Everything is saved.Everyone's sheets
The same candidate, criterion by criterion, across the whole panel. A cell more than a point off the group gets flagged, once three people have scored it. The overall gives Acting, Song and Dance a third each, however many judges scored each one.
The room
Who has been seen and whose sheet is still missing. Tap a row to look at them on your sheet. Send in puts somebody up for the whole panel, and every judge's sheet moves to them.
Who wants what
Casting board
Assign a role and callboard checks it against won't-accepts, shared scenes and the calls they would miss. Nothing is enforced. It warns, you decide.
Not cast yet
Everyone who auditioned and is in no part and no understudy slot. Tap a name to open their score sheet.
What the script says
The casting findings from the script pass, and the doubling each character's scene list actually allows.
What it found
Three checks, all reading data you already collected.
Shares a scene compares the two roles' scene lists. Same scene means one body cannot be in two places. Back-to-back scenes get the softer quick-change warning.
Conflicts counts the calls already on the schedule that this person would miss, so it is honestly zero until a calendar exists.
Roster & fees
The paperwork board. Red until it is done, so the parent meeting is a five-minute job instead of a stack of forms.
No job yet
Crew on the roster with no position picked, and what they asked for, first choice first. Tap a name to jump to their row.
Paperwork
Show day
The night in order: the pre-show list, the door, the kids, the post-show list. Call against curtain, who is missing once call has passed, and the door count from BookTix if it is wired. It keeps itself up to date while it is open.
Missing at call
Kids sign-in and sign-out
The children's track. A child is signed in at the door and signed out to a named adult. One SM or ASM stays until the building count is zero.
Checklist
New here? Take the tour.
It walks you through callboard the way a show actually happens: pick a show, read it, audition, cast, rehearse, open. Each stop opens the real screen and points at what it is talking about, so you learn it by seeing it, not by reading a manual. Start anywhere you like, or take the whole thing.
Ask it something
A question about how something works, or something you wish it did. You get an answer now, and Rob sees what you asked either way, which is how he finds out what is confusing.
It only answers from what callboard actually does. If it does not know, it says so rather than guessing, because a confident answer about a feature that does not exist would send you looking for it. If something is actually broken, use the Report a bug button in the corner instead: it comes with what the screen was doing at the time, which is the half that makes a bug findable.
What people have asked
Staff only. Every question and request, with the answer it was given, so you can see what needed a person and what did not.
This season
Cast and crew both, because a call that names the crew produces a crew sheet. Click a name for their season and what has been written about them.
Rehearsal report
Filled in by the stage manager before they leave. Sending it is what turns the department notes into work on Departments.
Department notes
The same departments as the paper template. Anything typed in a department becomes a task on Departments, with an owner, when this is sent.
Earlier reports
People
Who can see what. School accounts get in only if they are on this list. An address outside the district works too, but only as an exact invite you typed here, which is how somebody hired from outside the school gets in without opening the door to anyone else. Somebody not on this list is told to ask you, rather than shown an app full of errors.
What each one means
Rules on the database enforce this, not just the menu. Somebody who goes looking for a screen they are not allowed still gets nothing back.
Tech positions
The list every new show starts from. A show can add its own on its Tech list without touching this.
The line that matters
Students never see what we write about students. Audition scores and their comments are staff only in both directions, with no leader access at all. Rehearsal reports, the fee ledger, contracts and scholarships are the same idea: a leader gets the paperwork they need to run a rehearsal, and nobody but staff gets the candid part.
Show settings
The numbers and times the rest of callboard computes from. Each one saves when you leave the box.
Performances
Every time an audience is in. The countdown on the season screen, the opening date on the show card and the box office reconciliation all read these, so a date typed here is the one date.
Words the paperwork uses
The parent letter, the tech contract, the sign-up sheets and the sensory tip sheet all say these. Type each one once here and every document fills it in. The supply fee in Show settings above is one of them.

Tickets
BookTix is read-only from here: callboard pulls the numbers, it never changes a sale. The token lives on the Worker; the pull runs from this button and every twelve hours when staff open the show.
Who can change what, on this show
A job belongs to a show, not to a person. Somebody can stage manage Kaya and run a followspot on Elf, so this is set per show and falls back to their usual departments when you have not said otherwise.
Closing the show
When the run is over: audition scores are deleted for good, the roster is frozen, and one line per company member goes into the casting notes for next time.
Tech list
The crew, and who is doing which job. Nothing here is cast: they come in through the tech form, not auditions, and they are called for tech, not for rehearsal.
The jobs
Every position on this show, in the order the crew list prints. The arrows move a job up or down. An empty one is a gap somebody has to fill.
Everybody on crew
What they asked for is what they wrote on the form, in their order. What they got is yours to decide.
No job yet
Their choices off the tech form, first choice first. Tap a name to read their experience, why they want it and their strengths, and give them a job.
Program ads
Parents and businesses send their ads from one page, and it fits each one to PLAYBILLDER's exact size before it gets here: trimmed, resized to the shape of its spot on the page, black and white where the page is. Nothing comes back for being the wrong size.
What has come in
An ad that came some other way
Drop in the file they emailed (JPG, PNG or PDF), or type a shout-out. It gets the same fitting as the web page.
Program bios
Every student sends their bio and headshot from one link, no sign-in. The page holds them to what fits on the page and crops the photo to the same shape for everyone. They land here, matched to the roster by name, whoever is missing shows in red, and Print makes one page per student for the lobby wall.
